Office 365 Duo Enroll

CUIMC email and Microsoft Office 365 Apps at CUIMC requires Multifactor Authentication (MFA) via Duo when signing in from off campus. When using your CUIMC account to sign in to an Office 365 app from off campus – including Outlook on a computer, smartphone, or tablet – or a Microsoft portal such as Web Outlook, you will be prompted to either:

  • Enroll in CUIMC Duo MFA if you have not already. Simply follow prompts to set up an MFA method, or follow our detailed steps further below.
  • Use your existing MFA methods if you have already enrolled for CUIMC Duo. For help with managing your enrolled methods, including phones and tablets if they have changed, please be sure to see our FAQs.

IMPORTANT: CUIMC Duo enrollment is required even if you already use Duo MFA for Columbia University.

Enroll in CUIMC Duo MFA On Office 365 Sign In

Note that enrollment and Duo authentication is only used when off campus (not connected to CUIMC campus wired, wireless, or CUIMC VPN).

  1. Have the smartphone, tablet, or landline nearby to complete and test set up.
  2. Sign in to an Office 365 portal such as Web Outlook or https://office.com using your full CUIMC email address and its password.
  3. Click Next at the Welcome to Duo Security page, then Next two more times to reach the Select an option prompt.
  4. Click the option you would like to set up:

  1. Duo Mobile (Recommended) – to install/use the Duo Mobile app on your smartphone or tablet so you can receive push notifications or passcodes.
  2. Phone number – to receive a text message with a passcode or an automated phone call.

While there are multiple options for authenticating, using the Duo Mobile app to receive a push notification on a smartphone or tablet is the most secure, and strongly recommended for your main option. A back up option, such as a passcode or call, should be set up as well.

Select a link below based on the option you want to set up.

This will let you install the Duo Mobile app on your smartphone or tablet so you can receive push notifications or retrieve one time use passcodes.

  1. At the next screen enter the phone number for your smartphone.
    If you want to use a tablet, select the I have a tablet link and skip to step 8 below.

  1. Click Add phone number, then Yes, it’s correct (or No, change it if you need to re-type it).
  2. Select your preferred option to confirm ownership:
    • Send me a passcode to receive a text message with a passcode.
      Duo will text a passcode to your phone. Enter it in the next screen, click Verify, then continue to the next step.
    • Or call my phone to receive an automated call.
      Duo will call the phone number, answer the call and follow prompts you hear to confirm.
  1. A Now download the Duo app message appears. On your smartphone or tablet, open the App or Play store, then search for and install Duo Mobile.

  1. Now you will add your account to Duo Mobile. Click Next in the enrollment window to reach a scannable QR code.
  2. On your smartphone or tablet, open Duo Mobile and follow prompts until you see the options to Use a QR code or Use activation code and select one:
    • Use a QR code – Scan the QR code on screen with your device using your camera. Your device may prompt to allow camera access, be sure to accept so you can scan the code.
    • Use activation code – enter an email address to receive a code that you can type in to Duo Mobile to add your account.
      IMPORTANT: Do NOT enter your CUIMC (or forwarded Columbia University) email address for this, since you will not be able to log in to email until enrollment is completed.
  3. Follow prompts on your device in Duo Mobile to finish set up and test Duo.

Duo will ask you to add another way to log in, which is strongly recommended. Simply follow prompts, or if select Skip for now. When you sign in to an Office 365 app or portal again, you can select the Manage devices option that will appear below your enrolled authentication methods to add or manage devices.

Setting up a phone number allows you to receive a text message with a passcode or an automated phone call when you need to authenticate.

  1. Make sure the drop down menu for the country is accurate, then type your phone number and click the Add phone number button.
    Landline: be sure to check the This is a landline phone option so Duo will not attempt to set up with any text messaging option for it. The next window will allow you to add an extension for the landline if needed, click Add extension when done.
  2. At the next window confirm that the phone number shown is accurate by clicking Yes, it’s correct (or No, change it if you need to re-type it).
  3. At the Confirm ownership window click:
    • Send me a passcode – Duo will send a text with a passcode. Enter it in the next screen, click Verify, then continue to the next step.
    • Or call my phone – Duo will send an automated call; answer it and follow prompts to confirm.
  4. At the Added text/phone call prompt, click Continue.

Duo will ask you to add another way to log in, which is strongly recommended. Simply follow prompts to set up another method or select Skip for now. When you sign in to an Office 365 app or portal again, you can select the Manage devices option that will appear below your enrolled authentication methods to add or manage devices.
